Event

Description

Service for publishing event information and managing registration, attendees, capacity, waiting lists, and activity.

Use cases

  • Manage registration for in-person, virtual, or hybrid events.
  • Publish date, location, map, agenda, and access information.
  • Limit capacity and support companions or a waiting list.
  • Export attendees for accreditation or communication.

How to create the service

Select Cloud > New item > Event, enter a name and folder, and complete the basic information. Configure public information, form, design, access, messages, and publication in the editor.

Interface and controls

Tabs organize information, form, attendees, styles, access, and preview. The Cloud selector adds header images and attachments. Map controls set coordinates, zoom, and map type. Header actions save, test, and publish; the attendee view supports review, filtering, and export.

Full workflow

  1. Define title, description, time zone, start, duration, and location.
  2. Configure capacity, companions, waiting list, and registration period.
  3. Build the form and its validations.
  4. Add image, attachments, map, styles, and available translations.
  5. Customize messages and test registration.
  6. Publish and share the page or embed.
  7. Monitor attendees and export the list.

Supported files or data

The service stores event settings and attendee registrations. Compatible Cloud images can be used for headers or backgrounds and selected Cloud files can be attached. Registration fields depend on the enabled builder. Dates are stored using the configured time zone.

Configuration options

Options include dates, duration, time zone, address, map, capacity, companion limit, waiting list, closing date, form fields, text, buttons, messages, width, colors, typography, backgrounds, borders, images, authentication, OTP, access restrictions, and public-content translations.

Output and export formats

The service creates a public event page, confirmations, and structured registrations. Attendees can be exported in tabular formats such as CSV, XLSX, ODS, JSON, XML, HTML, or PDF when enabled.

Saving, downloading and sharing

Saving retains changes and versions. The public link and embed code distribute registration. Users shares management with other accounts according to permissions. Attendee download is available from the list and may respect active filters.

Limits and technical requirements

Capacity, plan quotas, and credits apply. End time must follow start time and current validation limits duration to seven days. Maps, OTP, email, and external authentication require configured providers.

Common errors

  • Registration is closed: check status, dates, capacity, and waiting-list settings.
  • The displayed time is wrong: verify event and browser time zones.
  • The map is missing: validate coordinates and provider configuration.
  • Confirmation is not delivered: check email, template, queue, and attendee address.

Privacy and data processing

Explain why attendee data is collected and whether it is shared with organizers or providers. Minimize fields and retention, protect exports, and restrict list access. Public attachments must not contain confidential information.

Frequently asked questions

  • What happens when capacity is reached? Registration closes or uses the waiting list, depending on settings.
  • Can companions be allowed? Yes, up to the configured maximum.
  • Can date and location be changed? Yes; notify people who already registered.
